About the Role: A proactive, detail-oriented Practice Manager to support the day-to-day operations of a growing telehealth practice. This role is ideal for a healthcare professional who thrives in a dynamic, tech-enabled environment and can work independently to drive administrative, compliance, and coordination functions across a virtual care team.
Key Responsibilities:
Operational Management
- Oversee daily virtual clinic operations and workflows to ensure smooth patient care delivery.
- Implement and refine standard operating procedures (SOPs) across enrollment/registration, scheduling, care delivery, and follow-up processes.
- Monitor clinician and support staff schedules, patient flow, and service utilization metrics.
- Collaborate with cross-functional peers and department leads within Mend to achieve business and operational goals.
Compliance & Documentation
- Ensure regulatory compliance with HIPAA, telehealth-specific policies, and state licensing requirements.
- Collaborate with the Director of Revenue Cycle to maintain credentialing files, licensure tracking, and payer enrollment records.
- Audit documentation for completeness and support risk management initiatives.
Patient & Provider Coordination
- Serve as point of contact for escalation of patient issues, scheduling conflicts, or EHR/documentation concerns.
- Support care coordination activities, including referrals, test follow-ups, and external provider communication.
EHR & Technology Oversight
- Manage EMR/EHR configuration and ensure documentation templates and clinical tools are optimized for virtual use.
- Train new staff on digital tools and workflows; serve as liaison to IT or software vendors when needed.
Quality & Performance Monitoring
- Track KPIs (e.g., no-show rates, documentation timeliness, patient satisfaction).
- Collaborate with the Director of Revenue Cycle to ensure timely claims submission and receipt of payment.
- Assist with internal reporting, payer audits, or quality improvement initiatives (e.g., HEDIS, CAHPS).
Qualifications:
- 2+ years of experience in clinic operations or experience as a clinician independently managing operational components necessary to succeed in this role; telehealth experience strongly preferred.
- Active RD/RDN License
- Familiarity with EMR platforms (e.g., Athenahealth, AdvancedMD).
- Working knowledge of healthcare compliance, credentialing, and remote monitoring programs (e.g., CCM, RPM).
- Strong communication and organizational skills; self-starter comfortable working independently.
- Bonus: experience with digital health startups or multistate operations
